Lead follow up

Automated lead follow up, so nothing goes quiet by accident

Most enquiries are not lost at the first reply. They are lost four days later, when nobody sent the second message. Treiva answers, qualifies, books the ones that are ready, and keeps going on the ones that are not.

0%

of companies in one audit had not responded to an enquiry within five business days.

What is automated lead follow up?

Automated lead follow up is the second message, and the third, sent without anybody having to remember. Not a campaign to a list. One conversation with one person who enquired and did not book.

Almost every business is reasonable at the first reply and poor at the second. The enquiry arrives, somebody answers it, the customer says they will think about it, and that is where it ends. Nobody is being lazy. The message was simply never anybody's job. Treiva keeps the thread open, picks it up again after a set gap, and refers to what was actually said the first time rather than starting over. When the person books, it stops. When they ask it to stop, it stops.

After the first conversation, when the enquiry has been answered and qualified but no meeting was booked.

The problem

The first reply gets made. The second one does not.

Ask anyone who has run a sales team and they will tell you the same thing. The enquiries that arrive today get answered today. The ones from last Tuesday, who said they would think about it, are gone.

They are not gone because they lost interest. They are gone because the follow up was somebody's intention rather than somebody's job, and intentions do not survive a busy week.

That is the gap Treiva fills. It is not cleverer than your team. It simply does not forget.

0x

is how far the odds of qualifying a new enquiry fall within the first hour.

How it works

Three things happen, and only one of them is new.

The enquiry is answered

Website chat, WhatsApp, Instagram, Facebook Messenger, SMS, email, a web form or a Meta lead form. Treiva replies within seconds and asks your qualifying questions.

Some book, some do not

The ones that are ready get a slot in the diary there and then. The ones that are not say so, and that answer is the whole reason this page exists.

The rest go on the ladder

Treiva comes back after the gap you set, refers to what was already said, and offers a time again. It stops when they book or when they ask it to.

The second message

It picks the thread up, rather than starting again.

higher odds of qualifying an enquiry at 5 minutes than at 30.

A follow up that opens with "just checking in" tells the customer nobody remembers them. Treiva has the first conversation in front of it, so the second one refers to the job, the timing and the thing they were unsure about.

The conversation on the right is nine days after the enquiry arrived. Nobody at the company touched it.

Following up
Hi Adam. You asked about the loft conversion back on the 2nd and said you were waiting on the architect. Has that come back yet?
Treiva · 09:14
It has actually, came through Friday.
Adam Reilly · 09:41
Good news. Are the drawings roughly what you expected, or has the scope changed?
Treiva · 09:41
Bigger than we thought. Probably a bathroom in there now too.
09:43
That changes the timings a little. Are you still looking to start before Christmas?
Treiva · 09:43
Ideally yes.
09:44
Then it is worth a proper look at the drawings. Thursday 10am or Friday 2pm?
Treiva · 09:44
Thursday works.
09:45
Where it ends

A follow up is only worth anything if it books something.

Treiva does not hand the conversation back with a note saying the customer seems keen. It offers real times against real availability and confirms the booking inside the conversation, the same way it does on the first reply.

Two of the four meetings on the right came from a follow up rather than a first reply. In most businesses those two are the ones that never happen.

The honest part

What follow up does not mean here.

Follow up is a word that gets used to mean outbound. It does not mean that here. Treiva follows up with people who contacted you. It does not find new ones, it does not send campaigns to a list, and it does not contact anybody who never enquired.

If what you want is to reach people who have not heard of you, this is the wrong tool and we would say so on the call.

No sales pressure. Just a conversation.

Nobody means to let an enquiry go quiet.
